📄 B2B Sales Proposal Process

Today 30 proposals a month take 9 days each because scoping, deck assembly and approvals are sequential and manual, with no send tracking. The to-be uses agents to transcribe discovery, draft the scope and assemble the proposal from an approved content library, keeping partner pricing approval and legal review as human gates. Target turnaround drops to 3 days with full visibility in HubSpot.

Why this redesign

The 9 day turnaround is not caused by a lack of effort but by two queues: waiting for a billable consultant to scope, and one person rebuilding a deck from old slides. This redesign attacks both without touching what makes the firm credible. Scoping becomes a review task: the agent drafts effort from comparable delivered engagements, so the consultant spends 30 minutes correcting instead of days starting from zero. Deck assembly moves to an agent working strictly from an approved slide library, which also fixes the quiet risk of recycled decks carrying wrong client names or stale claims. Pricing stays deterministic in a rules engine and every deal above 25k still stops at a partner, exactly as required. Legal is now triggered by clause deviation detection rather than by memory, so public-sector reviews never get skipped. Finally, sending moves into HubSpot with tracking and an automated follow-up cadence, giving a 25 person firm the pipeline visibility it currently lacks. With 30 proposals a month, the firm recovers roughly 130 hours monthly and can answer in 3 days.

Risks to manage

Suggested pilot plan

Start with two account executives and one senior consultant on private-sector deals below 25k, where risk is lowest and volume highest, roughly 12 proposals a month. Phase one, four weeks: transcription plus structured brief, scoping draft with mandatory consultant review, and deck assembly from a library seeded with 40 approved slides. Phase two, four weeks: pricing engine, clause pre-check, tracked sending with follow-up in informs mode before moving to acts. Success criterion after 25 proposals: median turnaround at or below 4 days, deck preparation time under 60 minutes, consultant scoping time under 40 minutes, zero client-facing content errors escaping the guardrail, and win rate no lower than the 22% baseline. Then extend to public-sector and above 25k deals with partner and legal gates unchanged.
